How to ask a creator to renew usage rights (email templates)

Updated November 7, 2026 · 5 min read

Ask a creator to renew usage rights at least 14 days before the license ends, in a short email that names the video, the new end date, where the ad will run, and what you're offering to pay. A request sent while you're still licensed is a business offer. The same request sent after the end date is an apology with a price attached.

Why timing matters more than wording

Pre-agreed extension pricing is consistently cheaper than extensions negotiated mid-campaign, according to Gigapay's 2026 roundup of usage and whitelisting fees. The roundup cites CreatoHunt putting extensions negotiated after launch at 60–75% of the original rate. That's an argument for writing renewal terms into the original deal. If you didn't, an early email still gives both sides time to agree a price before anything lapses.

Early also gives the creator time to say no. If they decline, you can schedule the pause for the end date instead of finding out after it has passed.

What every renewal request should include

Creators get many brand emails. Make yours answerable in 1 reply:

  • The video: its name, a link or a thumbnail, and the date you first licensed it.
  • The current end date, and the new end date you're asking for.
  • Where it will run: paid social only, or also through the creator's handle (whitelisting).
  • Your offer, as a price, or as the same rate as the original deal.
  • A reply-by date that falls before the current end date.
  • What happens if they say no: you'll pause the ad on the end date. Say it plainly; it builds trust.

Which template to use

Pick the template that matches where you are:

Situation: 14 or more days before the end date
Template: 1. Renewal request
Goal: Extend at the original rate, with no gap.
Situation: End date has passed, ad already paused
Template: 2. Late renewal
Goal: Agree a fair price for the new period and close the gap honestly.
Situation: You're not renewing
Template: 3. Wind-down note
Goal: Confirm the pause date and keep the relationship.

Template 1: renewal request (before the end date)

Subject: Extending usage for your [video name] ad

Hi [first name], your [video name] video has been among our best ads since [launch date]. Our paid usage runs until [end date], and we'd like to extend it to [new end date] for paid social on Meta [and through your handle, if whitelisting]. We'd like to offer [price], the same rate as our original deal. Could you let us know by [reply-by date]? If the timing doesn't work for you, no problem: we'll pause the ad on [end date]. Thanks, [your name]

Template 2: late renewal (after the end date)

Use this only once every copy of the ad is paused. Check your contract, and talk to your lawyer if you have one, before you send it.

Subject: Your [video name] ad, and extending usage

Hi [first name], your [video name] ad ran for [number] days after our usage end date of [end date]. We've paused it everywhere as of [pause date]. We'd like to agree terms for the period it ran and extend usage to [new end date]. Could you send us a quote? Thanks, [your name]

Whether you owe anything for past-term use depends on your contract and local law. This guide and these templates are general information, not legal advice.

Template 3: wind-down note (not renewing)

Subject: Wrapping up usage for your [video name] ad

Hi [first name], a quick note that our paid usage for [video name] ends on [end date], and we've scheduled the ad to pause that day across all our ad accounts. Thanks for a great video; we'd love to work with you again. [your name]

Before you hit send, step by step

Check these first, so the email you send is accurate:

  • 1. Find every live ad using the video, including duplicates in other ad sets and ad accounts.
  • 2. Confirm the end date in the signed contract, not a tracker cell someone typed.
  • 3. Check the contract for a renewal clause. If it sets a price, quote it.
  • 4. Get budget sign-off for the offer, from the client if you're an agency.
  • 5. Put the end date in the calendar of the person who will pause the ad if the answer is no.

Send renewals before ads become zombie ads

The templates only help if someone knows the end date is coming. A creator ad still running after the license ended is a zombie ad, and it usually happens because the end date sat in a spreadsheet while the ad sat in Ads Manager. Lapse checks every live Meta ad against your licenses each day and alerts you 14 days before an end date, so the first template is the one you send. Common questions

How early should I ask a creator to renew usage rights?
At least 14 days before the end date. That leaves time to agree a price, or to plan the pause if they decline.
Should I offer the same rate as the original deal?
It's a fair opening offer. Gigapay's 2026 roundup notes that pre-agreed extension pricing is consistently cheaper than pricing negotiated mid-campaign.
What if the creator doesn't reply?
Pause the ad on the end date. Don't treat silence as a yes. This is not legal advice.
Can an agency send the renewal email for a client?
Yes, if the client has approved the offer and the agency is named in the deal or has the client's go-ahead. Confirm who signs the extension.
